Ring Central

Ring Central is TSU's new phone system.

Yes, you can continue to use Microsoft Teams to contact TSU employees. But with RingCentral, you can also call external phone numbers and you can send faxes.

Ring Central is an app located in Microsoft Teams. It functions like a normal phone system, allowing folks to leave voicemail, etc. You may install a RingCentral app on your cell phone as well to make all of your calls seamless.

OVERVIEW

Once your phone has been moved to RingCentral, you can install the RingCentral app on either your computer or smartphone.

  • Search for the RingCentral app in the听听and听听

Signing into the RingCentral app听

  1. Visit 听and click Login听
  2. On the Login box, click the "Single Sign-On" link
  3. Enter your TSU email address and choose Submit to be redirected to TSU RingCentral.听
  4. Click Submit to redirect to the TSU Central Authentication Service page听

For the Desktop App: Confirm your address for emergency calls听

The first time you log into RingCentral on the Desktop App, you will be prompted to confirm your address. Be sure to follow the prompts; if you don't provide an emergency address, you will be limited to making calls to extensions within RingCentral.听

Setting up your Preferences in the RingCentral Online Portal听

Sign in to the RingCentral Online Portal at听听

Once you sign in, you can manage the following:听

  • Work Hours/After Hours behavior听
  • Voicemail Greeting听
  • Connect your TSU Calendar to your RingCentral Account听

Set your "Work Hours"听听

Your default "work hours" are set to 8:00a to 4:30p CT.听 If you need to receive calls through RingCentral outside of the set hours, please contact us at helpdesk@tnstate.edu.

Customizing your personal voicemail听

Anyone that calls you directly at your RingCentral extension will receive your personal voicemail message.听听

Connect RingCentral to your TSU email & calendaring account.听

Once connected, RingCentral will change your presence to busy when your calendar shows that you are in a meeting.听


USING RING CENTRAL

Choose Your Status听

Use your status to indicate if you are available to receive calls and text messages.听听听

To update your status,听听

  1. Select your profile听
  2. Select your听current status听
  3. Choose your new status听

Status Options:听

  • Available听鈥 Indicated by a green dot, this means that you are ready to take calls听
  • Do Not Disturb听鈥 Indicated by a red dot with a white line through the center, this presence indicates that you do not want to be disturbed and will shut off all app notifications across mobile, desktop, and email. You will not receive calls within听RingCentral; personal calls will go directly to voicemail.听
  • Offline听鈥撎齀ndicated by a gray dot, this means that听you are听offline or inactive (for 15 minutes or more) or logged out of the app.听听
  • Invisible听鈥撎齀ndicated by a gray dot, this will make it appear as if you're offline. This presence can only be set manually but will appear the same as Offline.听
At the end of the day, do not听forget to set your status to 鈥淒o Not Disturb鈥 if you do not want to receive calls after hours.听听听

Setting Up Call Handling听

Call handling is how you manage your phone calls. Within the Phone section of your RingCentral apps, you can create rules and manage the incoming call settings for screening, greeting & hold听music, choosing which devices you want to ring at specific times, and how you want to route missed calls.

Transferring a Call听

To transfer to a call,听select the "More" button (鈥) when you are on the call.听

  1. Select Transfer from the Dial Pad.

  2. Search for the person or team name, select the appropriate choice, and choose your transfer option.听
    • Ask First: Allows you to introduce the caller.听听
    • Transfer听or Transfer听Now:听 Also knows as a cold transfer, allows you to transfer the call with no introduction.听听听
    • To Voicemail: this option will be available if the recipient is set up to receive voicemail.

Canceling a transfer听

If you need to cancel a transfer while you are on a call,听select the red "hang-up" phone to cancel the transfer and go back to the original caller.听
